The Finance and Administration Assistant is responsible for the timely and accurate reporting and processing of various types of accounting transactions including cash receipts, check payments, and wire transfers. 


  • Reviews supporting documentation for accuracy, proper approval and donor allowability for all EF expenditures including staff reimbursements, invoice payments, field fund requests, etc
  • Maintains payment registers and files
  • Obtains check signature/s before mailing to vendor or giving to requesting employee
  • Matches checks with invoices and other support documentation
  • Prepares cash receipts deposits with appropriate supporting documentation;
  • Maintains cash receipt registers and files
  • Manages the Petty Cash function by disbursing petty cash funds and stamps, ensuring that each transaction is authorized and allowable
  • Performs Petty Cash reconciliation as needed, replenishing the balance each month regardless of the amount of disbursements made
  • Purchases stamps from the post office as needed
  • Assists in processing the allocation of certain expenses monthly in the accounting system.
  • Assists Accountant with semi-monthly payroll processing as needed
  • Maintains electronic and paper copy vendor files, including updated IRS Forms W-9, for each fiscal year
  • Leads IRS Form 1099 preparation, submission and distribution
  • Maintains supply of such items as checks, envelopes, and tax forms
  • Reviews and processes request for travel advances from employees
  • Prepares reports and journal entries as necessary
  • Liaises with vendors and staff on accounts payable issues
  • Resolves customer billing discrepancies
  • Assists in audit preparation
  • Other duties as assigned by the Controller, Accountant or Program Accountant


Experience: Minimum of three years of experience in progressive administrative and financial positions. Combination of education and years of professional experience is acceptable.

Requirements: Strong spreadsheet skills. Knowledge of accounting software applications. Excellent written, verbal, and organizational skills required. Strong attention to detail. Ability to work well with individuals throughout the organization. Ability to manage multiple tasks and successfully meet deadlines while quickly producing work of high quality. Proficiency in Russian, Farsi or Arabic desirable.

Education: Associate’s degree in accounting or similar coursework desirable.
